1. Policy Statement
The UK EUC Sports Association (EUC UK) is committed to safeguarding and promoting the welfare of all individuals involved in EUC sports. We believe that everyone has the right to participate in sport in a safe, positive, and inclusive environment, free from abuse, neglect, exploitation, discrimination, or harm.
The UK EUC Sports Association (EUC UK) recognises that children, young people, and vulnerable adults / adults at risk may be particularly susceptible to harm and therefore require additional safeguards. We are committed to taking all reasonable steps to protect their welfare and to creating a culture in which safeguarding is understood, valued, and embedded across all levels of the sport.
Safeguarding is central to the UK EUC Sports Association (EUC UK)’s purpose as a national governing body. This policy sets out the UK EUC Sports Association (EUC UK)’s commitment to safeguarding and provides the framework through which safeguarding concerns are prevented, identified, reported, and managed.
2. Scope and Application
This Safeguarding Policy applies to all individuals and organisations involved in activities that are recognised, sanctioned, delivered, or supported by the UK EUC Sports Association (EUC UK), including but not limited to:

All UK EUC Sports Association (EUC UK) affiliated clubs, academies, and accredited instructors are required to operate safeguarding arrangements that meet or exceed the standards set out in this policy.

6. Definitions
6.1 Child / Young Person
Any individual under the age of 18. For safeguarding purposes, E-WPA treats all under-18s as children across the UK.
6.2 Vulnerable Adult / Adult at Risk
An individual aged 18 or over who may be unable to protect themselves from harm or exploitation due to care and support needs.
6.3 Safeguarding
The action taken to protect the health, wellbeing, and human rights of individuals, enabling them to live free from abuse, harm, and neglect.
7. Types of Abuse and Poor Practice
Abuse may take many forms and includes, but is not limited to:

Physical abuse: deliberate physical harm or injury

Emotional abuse: persistent emotional ill-treatment affecting wellbeing

Sexual abuse: involvement in sexual activity without consent or understanding

Neglect: failure to meet basic physical or emotional needs

Discriminatory abuse: based on race, gender, disability, sexuality, religion, or belief
Poor practice refers to behaviour that falls below expected standards but may not constitute abuse, such as inappropriate language, favouritism, failure to maintain boundaries, or unsafe practices.

9. Reporting Safeguarding Concerns

11. Confidentiality and Information Sharing

The UK EUC Sports Association (EUC UK) is committed to safer recruitment practices, including:

Safeguarding compliance is a condition of affiliation, accreditation, and participation in E-WPA-recognised activities.
13. Allegations Against Adults in Positions of Trust
Any allegation against a coach, instructor, official, volunteer, or person in a position of trust will be taken seriously and managed in accordance with the UK EUC Sports Association (EUC UK) Safeguarding Procedures. Temporary suspension may be imposed where necessary to protect participants.
14. Monitoring, Review, and Governance
This policy will be reviewed annually, or sooner if required due to changes in legislation, guidance, or following a safeguarding incident.
UK EUC Sports Association (EUC UK)’s Board retains ultimate responsibility for safeguarding governance.

Safeguarding Procedures
1. Purpose of These Procedures
These Safeguarding Procedures set out how safeguarding concerns will be responded to, recorded, managed, and escalated within the UK EUC Sports Association (EUC UK). They should be read alongside the UK EUC Sports Association (EUC UK) Safeguarding Policy and apply to all UK EUC Sports Association (EUC UK)-recognised activities.
The procedures are designed to ensure that safeguarding concerns are handled promptly, consistently, and appropriately, with the welfare of children and vulnerable adults / adults at risk as the paramount consideration.
2. When a Safeguarding Concern May Arise
A safeguarding concern may arise in a number of ways, including:

A direct disclosure by a child, young person, or adult at risk

Observing behaviour or physical signs that cause concern
-
A report from a third party (e.g. parent, coach, official, spectator)
-
Identification of poor practice that could escalate into harm
All concerns must be taken seriously, regardless of the perceived severity.
3. Immediate Actions and Emergency Situations
If a person is in immediate danger or requires urgent medical attention:

Take all reasonable steps to ensure the individual’s safety

Inform the UK EUC Sports Association (EUC UK) Safeguarding Lead as soon as practicable
Safeguarding concerns should never be delayed due to uncertainty or fear of being wrong.
4. Responding to a Disclosure
If someone discloses a safeguarding concern to you:

Stay calm and listen carefully

Allow them to speak freely

Reassure them that they have done the right thing

Do not promise confidentiality

Do not ask leading or investigative questions

Do not attempt to investigate the matter yourself
You should make a written record of the disclosure as soon as possible, using the individual’s own words where possible.
5. Reporting a Safeguarding Concern
All safeguarding concerns must be reported to the UK EUC Sports Association (EUC UK) Safeguarding Lead without delay.

Codes of Conduct
1. Player Code of Conduct
All players/riders representing or participating in UK EUC Sports Association (EUC UK)-recognised activities must:

Follow the rules of the sport and UK EUC Sports Association (EUC UK) regulations

Act in a manner that promotes safety and wellbeing

Respect the authority of officials and instructors

Use social media responsibly and respectfully
Players must never place themselves or others at risk through reckless or unsafe behaviour.
2. Coach / Instructor Code of Conduct
Coaches and instructors hold positions of trust and must:

Avoid unnecessary or inappropriate physical contact

Hold appropriate qualifications, accreditation, and insurance

Failure to uphold these standards may result in suspension or removal of accreditation.

Event, Club, Academy & Instructor Safeguarding Framework
1. Purpose
This framework sets out the safeguarding standards required of all UK EUC Sports Association (EUC UK)-recognised events, clubs, academies and accredited instructors.
Events, clubs, academies and instructors play a critical role in introducing participants to our EUC sports and therefore must operate to the highest safeguarding standards.
2. Safeguarding Requirements
All events, clubs, academies and instructors must:

Comply with the UK EUC Sports Association (EUC UK) Safeguarding Policy and Procedures

Hold appropriate safeguarding training

Complete DBS checks where required
-
Maintain safe supervision ratios

Conduct risk assessments for all activities

3. Working with Children and Young People
When working with under-18s, academies and instructors must:

Safeguarding Affiliate Agreement
1. Purpose of This Agreement
This agreement sets out the safeguarding obligations of all events, clubs, academies affiliated with E-WPA.
By affiliating, they agree to uphold UK EUC Sports Association (EUC UK) safeguarding standards and operate in a manner that prioritises participant welfare.
2. Responsibilities
Affiliates must:

Appoint a Safeguarding / Welfare Officer

Adopt safeguarding policies consistent with UK EUC Sports Association (EUC UK) standards

Ensure appropriate DBS checks and training

Promote safe and inclusive participation

4. Breach of Agreement
Failure to comply with safeguarding requirements may result in sanctions, including suspension or termination of affiliation.
